How do I enter company vacations?
In this article, you as an administrator will learn how to store company vacations for your employees in HR WORKS.

1. Creating absence type "Company vacations"
To be able to manage absences, such as company vacations, you need the administrator role “Absences administrator”, which you are assigned by your master administrator under “Master data/Roles and authorizations”. For the basic administration of absences, read this article.
In the Admin menu, go to "Time management/Absences/Absence types" to create the absence type "Company vacations". Click on the button "New" in order to create a new absence type.
In the window that opens, enter the name of the absence and select the calculation rule. In this case, it would be the reduction of holiday entitlement. Click on "OK" to create the absence type.
Define further settings, such as the color coding in the company calendar. It is important to activate the option “Use by administrators only” to prevent employees from selecting this absence type. In addition, select a suitable key for future imports.
2. Importing company vacations
The specific dates for employees can now be created for the company vacations. Go to “Time management/Absences/Vacation import” in the Admin menu. Download the csv template for absences and fill it with the dates of your company vacations.
The completed csv table could look like this as an example:
Please enter a capital “H” in the column “Begin date is half day” or “End date is half day” if it is only half a day.

Save the file in .csv (delimiter separated) format and import them into HR WORKS using the “Upload” button.
Check if the uploaded data is correct and finalize the import by clickling on “Import all” to create the final absences for the employees in their vacation account.
You will receive a message as soon as the import has been successfully completed.
You will now find your imported company vacations in the employee menu of the listed employees under “Time management/Absences”.
