How to manage my events

In this article you will learn as superior how to view and edit your team´s events, such as anniversaries and birthdays.

1. View events

In your "My team" menu, you can view birthdays and anniversaries of your employees at "Events". You´ll see the past and future two weeks, as well as the current week. 

By clicking on the three-point menu, you can download the events as an iCalendar file or Google Calendar entry, as well as open the person in a new tab.

2. Manage tasks 

For birthdays and anniversaries, as a superior, you will receive a task to congratulate when the event occurs. This will be listed in your "My to-do´s" area under "System tasks/As superior". You can either complete and close the task directly in the "My team/Events" menu or put it to work and close it under "My to-do´s/System tasks".

3. E-Mail settings and calendar synchronization 

If you want to be reminded about the events by mail, you can set this in your E-mail settings. Go to your profile to access your mail settings.

Within your profile you go to "E-mail settings/As superior/General" and activate the checkbox "Mail for anniversaries and birthdays". The event will be listed in your weekly summary e-mail of HRworks the Monday before the week the event takes place.

Additionally, you can activate E-Mail notifications to your created congratulation-tasks. Open "E-Mail settings/Mails for Tasks" and check the boxes "Congratulate employees on their birthdays" and "Congratulate employees on their work anniversaries". Furthermore, you can define after which number of days the notification should be sent. "0" means that the notification will be sent immediately after the task has been created, "1" means that the notification will be sent after the task has been open for one day. Click on "Save" to save the changes. 

If you want to have the events synchronized in your Outlook or Google calendar in addition to the E-mail notifications, you can activate this in your profile under "Settings/Synchronization settings". You will learn more about the calenader synchronization set up in this article.
