HR WORKS Pro: AI assistance in the user interface is available with HR WORKS Pro. If you would like more information about the Pro package, please contact our support channels.

 

With AI assistance in HR WORKS Pro, employees can record absences, sick notes, home office/mobile work, working times, and travel data. Entries can be made via text input as well as, on mobile devices, via voice input.

With AI assistance, employees can use short inputs in natural language to create the following entries:

  • Submit absences (e.g. vacation, special leave)
  • Create or adjust sickness notifications
  • Report homeoffice / mobile work
  • Record working times
  • Enter travel data for business trips
 

The AI then structures the data and prepares the entries. Your employees can review, adjust if necessary, and then confirm the entries using a preview. Only then are absences, working times, or travel data created or changed in the system. The existing approval and review processes in HR WORKS remain unchanged.

Where can employees find AI Assistance?

AI assistance is available to all HR WORKS Pro users in the following menus:

  • On the dashboard
  • On the start page of the “Time Management” 
  • On the start page of the “Travel Management”

Requests and changes can be created using AI assistance as follows:

Recording via text input

  • Record absences:
    Input: “Enter vacation from May 12 to 16.”
    → The AI creates a vacation request and clearly displays the period for confirmation.

  • Extend a sickness notification:
    Input: “Sickness notification for the next three days starting today.”
    → The sick note is prepared and the duration is clearly displayed.

  • Report homeoffice / mobile work:
    Input: “Move homeoffice from today to tomorrow.”
    → The day to be changed is suggested as the corresponding home office entry.

  • Record working time:
    Input: “Yesterday I worked from 8 a.m. to 5 p.m. with a one-hour break.”
    → The working time is taken over and clearly structured before saving.

  • Enter travel data:
    Input: “Business trip to Munich on March 5, outbound and return on the same day.”
    → The travel data for the trip is prepared and displayed in a clear format.

Recording via voice input

In mobile use, AI assistance can also be operated via voice input.

  • Record a sick note:
    “I’m sick today, please enter a sick note for today.”

  • Record working time:
    “Working time today from 9 a.m. to 6 p.m. with a one-hour break.”

 

This allows your employees to enter requests and times directly in HR WORKS while on the go – without having to update them later on a computer.

 

Note: When recording working times, please note that AI assistance is not available if no editing period has been set in the time tracking regulations.

 

You can control AI assistance as an administrator. With the “Base administrator” role, you can deactivate this feature if necessary under “Basics/Settings”, tab “General Settings”.
