How Do I Submit a Report Through the Whistleblowing System?

Access to the whistleblowing system is provided to you by your company via a URL.

After you open the homepage of the whistleblowing system, you will first receive a brief introduction explaining how the system protects you and how you can protect yourself as a whistleblower.

To submit a report, click the “Submit New Report” button within the whistleblowing system. You will then be redirected and can choose from various categories in which you would like to submit your report.

Anonymity

You can choose whether your report should be submitted completely anonymous or confidential. 

  • Completely anonymous: Your report will be submitted without any personally identifiable information.

  • Confidential: Your report will be submitted with your name and email address. Your personal data will also be encrypted and can only be viewed by the designated recipients of the report.

Note: Your email address is used for identification purposes only. No email communication regarding your report will take place. 


Entering the Report

First, select the relevant location if multiple locations are available. If no locations are available, proceed to the next step and enter your message.

The text of your message will be automatically anonymized so that capitalization and duplicate punctuation marks are removed. With this setting, the text can only be entered in lowercase letters.

To deactivate this option, remove the checkmark from the corresponding checkbox. The text will then appear exactly as you entered it.

You also have the option to record a voice message as an alternative or in addition to your written message. This option is only available if it has been activated by the operator of your whistleblowing system. You can record up to five voice messages, each up to three minutes long.

You can upload attachments to your report. Please make sure to remove any author data and personal information before uploading. Files can only be uploaded after you have confirmed that you have read and acknowledged the provided information.

Optionally, you may be able to see who is responsible for processing your report, if your company has chosen to display this information.

You can submit your report either immediately or with a delay. To better protect anonymity, reports can be transmitted with a delay of up to three hours.

If a consent form has been set up, it must be confirmed before the report can be submitted.

After successfully submitting your report, you will receive a confirmation message. To check the status of your report, you will receive individual access dats. You can download these credentials by clicking the “Download Access Data” button and save them in a secure location.
