How to generate reports for my team

In this article you will learn how to create reports about your team as a superior.

As a superior, you have the possibility to evaluate travel costs, absences and working hours of your team. Numerous reports allow evaluation by projects, cost centres, employees or locations.

In just a few steps, you can create evaluations for different persons, cost units over defined periods of time and trip status. With a click, you receive the desired report in HTML/PDF format. For further processing, you can either save it and then open it in Excel or simply copy and paste it into your spreadsheet programme.

1. Travel expsenses reports

In the menu "My team/Reports/Travel expense reports" you have the possibility to create reports on travel expense reports of your employees. The following reports are available:  

Business Entertainment report: shows, in addition to the costs, which persons were entertained on which occasion and at which location.  

Controlling report per person: detailed breakdown of costs per person   

Cost report: exact breakdown of costs per trip   

Cost report with trip protocol: exact breakdown of costs per trip including travel log   

Cost objects report: overview of costs per cost unit broken down by person   

Sum report: number of trips incurred and their total costs

 

Controlling report in detail
The controlling report provides you with a comprehensive overview of the total costs. The report can be filtered according to different criteria (e.g. employee, department or cost centre), so that you can see at a glance, for example, how much the employee has spent on business entertainment in the past year or how high the hotel costs were in the past half year.

 

Cost objects report in detail
This report is the perfect basis for the further invoicing of travel expenses. It also serves to evaluate travel expenses that have been posted to projects, for example. It lists the individual cost types for the respective projects in detail.

Select the desired report and the file format from the drop-down menus. At the same time, determine which persons, cost units and which time period are to be considered in the evaluation and click on "Create". Above the button you will find the number of persons and trips included in the report. The button is only active if trips or voucher folders are found for evaluation via the set search criteria. 

If the status in the lower area is "Successfully created", download the report by clicking on "Download" or with a double click. The content of each report can be copied and pasted into Excel using the HTML file format and processed further there.

2. Time registration reports

In the menu "My Team/Reports/Time registration reports" you have the possibility to evaluate the working times of your employees. The following reports are available: Working hours short overview; Working hours per person; Working hours current overtime value; Working hours total report.

Select the desired report and the file format from the drop-down menus. At the same time, determine which persons and which time period are to be considered in the evaluation and click on "Create". Above the button you will find the number of persons included in the report. The button is only active if working times recorded via the set search criteria are found for evaluation. If the status in the lower area is "Successfully created", download the report by clicking on "Download" or by double-clicking. The content of each report can be copied and pasted into Excel in HTML format for further processing.

3. Absence report

With HRworks, you can obtain informative evaluations of your employees' absences in just a few steps. The following reports are available in the menu "My team/Reports/Absence reports": Absence overview; Sick leave by month; Holiday overview.

Select the desired report and the file format from the drop-down menus. At the same time, determine which persons, absence types and which period should be taken into account in the evaluation and then click on "Create".  

Above the button you will find the number of persons and absences included in the report. The button is only active if absences entered via the set search criteria are found for evaluation.

If the status in the lower area is "Successfully created", download the report by clicking on "Download" or by double-clicking. The content of each report can be copied and pasted into Excel in HTML format for further processing. 

4. Plausibility check


In the menu "My Team/Plausibility Check" you can see how long your employees have worked or when they started or finished their working day. Unlike the administrators, you do not have the option here to edit the respective entries.


You can also be forwarded directly to the employee's working hours via the "Three-dot menu/Open in new tab". 


Use the filter to view specific working times. For example, you can display all employees who clocked in or out after a certain time.
